Preference - Generating the Container and Events

Once you're satisfied with the allocations made in your sign-up, the next step is to generate the container.

What happens when you generate a container?

  1. Parents receive an email with allocation results.

  2. Student, parent, and staff diaries are populated with scheduled activities.

  3. Registers are created for teachers to take attendance.

Please note that generating the container is a one-time, irreversible processit cannot be generated again or undone. Therefore, it’s very important to ensure you're happy with the allocation results before proceeding.

  1. In the selected container, click the Generate Events tab.

    Any groups/activities with a status below "Complete" will be listed here. This may be because:

    • The activity does not meet the minimum number of participants required to run, or

    • Manual allocations were made, but the group wasn't manually marked as complete.

  2. Decide how you want to proceed for each listed activity:
    • CompleteYou want the activity to go ahead, even if it doesn’t meet the minimum number of students.
    • On HoldYou do not want to run this activity.
      Note: If you put a group on hold, any students already allocated to it will not have an activity on that day unless you manually re-allocate them to another group.
  3. Once you have checked that all the applicable groups/activities have been marked as Complete or On Hold, then the screen shown in the image below will appear.
  4. In the message box, you can add optional information (e.g., contact details) to include in the parent email.
  5. Tick "I Confirm
  6. Send Communications is ticked by default so that parents receive an email confirming their child’s allocated activities. You can untick this option if you prefer not to send the email.
  7. Click the green Generate tab.

 

 

After generation:

  • Diaries for students, parents, and staff will be automatically populated.

  • Students will be added to the relevant groups, and lead staff will be assigned.

  • Parents/students will receive the email notification (example shown below).

⚠️ Important Note:

  1. Once a container is generated, it cannot be undone or generated again. Please ensure that all allocations are complete and you're happy with the results before proceeding.
  2. After generation, the sign-up cannot be reopened. If any new students wish to join an activity, they will need to submit a join request, or you can add them manually.
