Preference - Mass Cancellation or Deletion of Events

Sometimes, you may need to delete or cancel future events in bulk within a preference-based container for a specific date range. This could be due to various reasons — for example, a staff member is no longer available to run their activity, block dates were missed during setup, or you need to cancel all outdoor clubs due to an incoming storm.

To delete or cancel events in bulk, please follow the steps below:

  1. Click on 'Activities & Clubs Admin' (this may be labeled differently for your school)

  2. Click on 'Preference Based Sign Up' (this may be labelled differently for your school)
  3. Click on 'Manage' for an Active Container

  4. Click on 'Manage Events' on the left-hand side panel
  5. Click on 'Cancel or Delete Events'
  6. Check the boxes for the activities you wish to delete or cancel events or click 'Select All' if you wish to delete or cancel all the events for the groups
  7. When you are happy with your selections, click 'Next'

  8. In the pop up box, you can set the date range for which you wish to cancel or delete the events. For example, you may only wish to select a week rather than all the dates of the activities
  9. Check the boxes for the groups
  10. Click on 'Cancel Events' or 'Delete Events'

If you're cancelling or deleting events for multiple activities over a longer period, please split the process into two batches (e.g., Monday–Wednesday and Thursday–Friday). There is a system limit on how many events can be removed at once, and breaking it up helps ensure the deletion is completed smoothly without errors.

Cancel Events / Delete Events:

The key difference between Cancelling and Deleting events is how they appear to staff and parents:

  • Cancelled events will still appear in the diary but will be marked clearly with a red "Cancelled" stamp.

  • Deleted events will be completely removed and no longer visible in the diary.

Cancel Events

  1. A pop-up box asking you to confirm that you wish to Cancel the events and how many will be cancelled. Click 'Confirm' to cancel the events

  2. Please remember to send communication to the parents about the cancellation, as there is no auto notification being sent when you are cancelling events in bulk.

  3. Now, in Reception | Registers, the events will be showing with a red Cancelled notification
