In this article, we’ll guide you on how to create a trip that does not require parental consent. This is useful when you simply need to add the event to a student’s diary without seeking parent approval, such as for compulsory events or cases where consent has already been obtained separately. In this article, we create a day trip as an example, please see the steps below:
1. In the Trips Portal, Click on "+Add" on the top right corner.
2. Select a Trip type, Add an Event Name and click Next.
3. Select the year or group you are inviting and click Next.
4. Select the recipients from the Communications drop down menu.
5. Select “All groups included - NO consent required” or “Select from group - No consent required” the type depends on your invitees. Please note that you can only create repeating events for "All Groups Included"
- When selecting "All groups included - NO consent required", this will send notifications to members of the group automatically once you have saved the trips.
- When selecting "Select from group - NO consent required", this will require an additional action (Please refer to Step 11) as you will have to select which members of the group you want to send notifications to.
6. Fill in the event time and location. You can set different Meeting and Pickup locations if different from the event venue. If this is a repeating event, please only put the start time and end time for the first event; you can set the repeating rule later.
7. Fill in the Vital and Additional Information and click next.
8. If this is a recurring series of events, please specify the repeat occurrence and the end date for the recurrence. If you have selected "All Groups Included" event, you can define the repeating frequency (if applicable). Once completed click Next.
9. Review the event details, and click Save to confirm.
10. If you have selected "All groups included", no further actions required.
Once saved, the system will take you back to the Trips Portal page. You click on the event to view the events details and the registry. Additionally, you can also view the details via your diary or under Reception > Registers.
11. If you have selected "Select from group - No consent required" please select the "Notify" icon to navigate to the page to select who you'd like to send notifications to.
12. Select who who'd like to notify from the drop down menu.
13. Select which students you want to send notifications and add the event to their diaries.
14. Click "Update & Notify" to confirm.
