How reports are organised

When you select a report group from the Reports dropdown, one or more tabs may appear along the bottom, depending on the group. These are called Pages, and each page can hold one or more reports. You can usually filter reports to refine the data or export them for further analysis. Some filters apply across all pages, for example when you select a container.

The preliminary data appears in the main section of the page, ready for you to adjust using the date range and filters, if applicable.

Tool tips

Select the question mark at the top left of the page. It takes you either to this article or to a tool tips page with hints on exporting data, using filters, selecting multiple containers and more. To return from a tool tips page, select the left arrow.

Tool tips are not available on every report yet. We are standardising the look of each report to include them, along with your organisation's colour scheme and logo.

Use filters

A page may include different filters: a dropdown where you select one or more items, a relative timescale (for example weeks or months), a date slider and others. Some pages also have buttons that act as shortcuts to filtered data.

Date slider

Drag the circles to set the date range you need. The data updates automatically. You can also change the dates by selecting the calendar icon.

Select the down arrow on the filter, then tick the box for each item you need. To select more than one item (where allowed), hold Ctrl on Windows or Command ⌘ on macOS while you select.

If the filter pane on the left is hidden, select the left arrow to show it.

  1. Select the report you want to filter. The filter options become available.

  2. Select the arrow at the top right of the filter you need.

  3. Select your criteria. The report updates automatically. Some filters need you to select Apply Filter first.

Export a report

  1. Move your mouse to the top right of the report and select the three dots that appear.

  2. Select Export data.

  3. Choose Data with current layout (Excel .xlsx) or Summarized data (CSV or Excel .xlsx).

  4. Select the yellow Export button.

Print a report

SchoolsBuddy Reports uses Microsoft Power BI Embedded. Printing is limited to a print screen function, and printing large or multi-page reports does not work. We recommend exporting the data to Excel, where you can adjust columns, page margins and so on. If you do need to print from reports:

  1. Select the full screen button next to the print button.

  2. Press the print screen key on your keyboard, or use a screen capture app, to take a screenshot of your data.

  3. Paste the screenshot into another program and save it as a PDF to print.

Use focus mode

Focus mode shows the selected report and removes everything else from the screen. Move your mouse to the top of the report and select the box to the left of the three dots.
