Quick answer

Go to Fees > Wallet Accounts Overview. From there you can view a parent's wallet transactions, add credit or withdraw credit. Adding and withdrawing credit needs both the Fees and Advanced Fee Admin permissions.

Balance updates: parent wallet

For staff who need to view or adjust the credit in a parent's wallet.

To make adjustments you need the Fees permission and the Advanced Fee Admin permission. If you do not have them, ask your super admin to assign them.

Open Wallet Accounts Overview

  1. Select Fees on the homepage.

This tab shows the credit in each parent's wallet. By default, parents with the highest credit balance appear first. Search for a parent by first name or last name.

View transactions

  1. Select View Transactions to see the parent's credit transaction history.

  2. Tick Show Source Transactions to show related transactions.

Raise credit

Use Credit to add an amount to the parent's wallet, for example a referral bonus for activities.

You do not need to raise credit when issuing a refund. Credits are assigned automatically when you adjust the student's account.

  1. Add a description.

  2. Add a reference. Include one every time so your records stay accurate.

  3. Enter the amount you want to credit.

  4. Select Raise Credit.

Withdraw credit

Use Withdrawal to remove an amount from the parent's wallet. Always withdraw the credit after you process a bank transfer or credit card refund.

  1. Add a description.

  2. Add a reference, so you have a record for the future.

  3. Enter the amount you want to withdraw.

  4. Select Withdraw.
