In this article, we will go through the Wallet Accounts Overview page. This tab can be found within the Fees Module. Please note that you need the Fees Permission to access this tab.
Wallet Accounts Overview
Wallet accounts are used to store credit balances for each parent. If you are an Advanced Fee Admin, you are able add/remove credits to parents' wallets on this page.
Credits typically arise from refunds due to cancelled events or bookings, and in rare cases, may be added manually by an Advanced Fee Admin.
Credit is not automatically applied to settle any outstanding balances on the student’s account; however, it remains available for future bookings or settling outstanding charges. Parents can use the credit to make a payment, or staff can apply it via the Record Payments tab.
- The total credit balance for each parent is displayed in the Balance column.
- To view a breakdown of the balance, click on the View Transactions tab on the right-hand side of the screen.

A list of all credit-related transactions (including refunds and payments made using credit) will be displayed. You can use the date range filter at the top to view transactions from a specific period or to see earlier activity. Please note that this page only shows payments made using wallet credit—payments made by credit card will not appear here.
- If you are an Advanced Fee Admin, you can click on the 'Credit' option to add credits to a parent manually. Please note that manually raising credit is only required in very rare cases, such as issuing a referral bonus or transferring credit from one parent (e.g., Dad) to another (e.g., Mom).
You do not need to raise credit when an event is cancelled or when a student withdraws from an activity—these scenarios are handled automatically by the system. - Enter the credit reason and amounts, then click 'Raise'."
- If you are an Advanced Fee Admin, you can click on the 'Withdraw' option to remove credits from a parent manually. It is crucial to manually remove credits from a parent's wallet after processing a credit card or bank transfer refund, leaving credits in the wallet could result in unintended future payments.
- Enter the withdrawal reason and amounts, then click 'Withdraw'."
