Once all events in a container have finished, you can archive the container.
This will also archive all the groups inside it, helping to keep things tidy for admins, teachers, and parents.
Steps to Archive a Container
-
Click the 'Activities & Clubs' tab (this may be labelled differently due to your school's preferences)
- Select the container types on the left-hand side menu(this may be labelled differently due to your School's preferences).
-
Find the Container you wish to archive and select the blue 'Manage' tab on the right-hand side.
- Click the 'Archive/Unarchive' tab, which is the last tab on the right side, located on the Container tab bar. When selected, a list of the Groups that were active inside the Container will be listed. An example of this is shown in the image below.
- Click the Archive box at the top. By default, all groups inside the container will be selected.
If you only want to archive certain groups, simply untick the boxes next to the groups you wish to exclude. - Once the correct groups have been selected, click the red 'Confirm Archive' tab.
-
To confirm the archive, click the 'Confirm' tab in the pop-up window.
- The Container status will then be set to Archived. If you wish to search for this container after archiving, you will need to select the 'Archive' filter in the group's tab
- The groups inside that container will also be archived. If you wish to search for them in Reception>Groups tab after archiving, you will need to select the 'Archive' filter in the group's tab | Reception/Registers.
-
The archived groups will be displayed with a red filing cabinet next to the group name. An example of this is shown in the image below.
Archiving the Container if groups have already been archived separately
- If all the groups within a container have already been archived via Reception > Groups > Edit (see here for steps), then these groups will have to be re-activated, so the container can be archived.
- Follow steps 1 to 3 above.
- Unclick on the 'Archive All' button
-
Click the 'Confirm Archive/Unarchive'
-
Click 'Confirm' in the pop up box, and then 'OK' in the next pop up box.
- Now click the 'Archive All' button, then 'Confirm Archive/Unarchive'
- Click 'Confirm' in the pop up box, and then 'OK' in the next pop up box.
- The Container status will then be set to Archived.
⚠️ Please Note: Containers can only be archived once all events inside that container have finished.
