Admin staff can control whether parents are allowed to cancel their own bookings for each activity container in the Activities & Clubs module. They can also choose whether booking cancellations are automatically refunded, and set a time window ahead of the event start time when booking cancellations will no longer be accepted. To view or make changes to the activity container click 'Edit' on the right-hand side.

In the Container settings you will see the option for booking cancellations just below the Description text box.Â

Select the box to 'Allow Booking Cancellations' and it will display an additional two options.
The cancellation window allows you to set a time limit on the cancellation. For example, if you enter a 1 into the hour column then Parents would not be able to cancel 1hr before the event. You can set this time window for up to 23hrs 55 minutes before the event.
If you are happy for Parents to be able to cancel at any time then leaving the default zero values in will allow cancellations up to the last minute.
The second option displayed is the 'Auto Adjust Payments' checkbox. Upon selecting this a note will show underneath explaining that if any payment has been made that this will transfer as credit back to the Parent wallet. The whole fee will be auto-adjusted, so if you only want to refund part of the fee we recommend using manual adjustments instead- see this article for more information: Mass Adjustments / Mass Discounts and Refunds.
Upon selecting your options click the save button at the bottom of the Container screen to save your settings
We recommend you add information in the container description or terms and conditions to let Parents know your refund policy, so that they know whether they can expect to be reimbursed or not when they cancel.
