Once the events are published, you can view them in the “View Events/Bookings” tab.

From here, you can:

  • View upcoming meetings

  • See which students have booked into each timeslot

  • Delete or amend bookings

  • Update event details, such as location or teacher

  • Block, Delete or Cancel a timeslot

Use the index on the right-hand side to jump directly to the section you are looking for.

How to View/Delete Students' Bookings?

  1. Click on the View Events/Bookings tab
  2. Once you select a teacher, their schedule will appear. If a student has already booked a time slot, their name will be displayed under that slot.
  3. To remove a booking, click on the relevant time slot, then open the Attendee tab on the right-hand side. A red trash icon will appear — click it to delete the booking.

How to Update the Event/Meeting Details?

  1. Click on the View Events/Bookings tab
  2. Select a teacher you wish to update the meeting details for
  3.  Select the specific meeting you want to update.
    If you need to change details for multiple meetings for the same teacher, select the first meeting of that teacher.
  4. Click the Details tab:
  5. Update the details in the respective fields, and click Save
  6. When you click Save, a pop-up message will appear asking whether you want to apply the changes to all future events in the series.

    • If you want the update to apply to all upcoming events, select Apply changes.

    • If the update is only for this specific event, select Leave other events.

       

How to Block a Meeting Timeslot

  1. Go to the View Events/Bookings tab.

  2. Select the teacher for whom you want to block a timeslot.

  3. Tick the box next to the specific meeting you want to block.

  4. Click the orange Block Out Selected button at the top.

How to Delete/Cancel a Meeting Timeslot

  1. Click on the View Events/Bookings tab
  2. Select a teacher you wish to delete/cancel meetings for
  3.  Select the specific meeting you want to update.
    If you need to delete multiple meetings for the same teacher, select the first meeting you wish to delete for that teacher.
  4. Click the Details tab:
  5. Click the Cancel Event or Delete button at the bottom of the page:
    • Cancel Event: Sends a notification to participants. The event remains in participants’ diaries but is marked as cancelled. Typically used for sudden or unexpected cancellations.

    • Delete Event: Removes the event quietly from participants’ diaries. Usually used to correct an incorrectly created event. Multiple events can be deleted in bulk.

  6. When you click Delete, a pop-up will appear allowing you to:

    • Select other events if you want to delete multiple events at once.

    • Click Toggle at the top to select all events if you wish to delete the entire series.

  7. When clicking on "Cancel Event", a pop-up will appear allowing you to send a notification to participants.

    • Select Recipients

    • Enter your message in the message body

    • Click Confirm to send the notification

     

Important Note ⚠️:

  1. Event Time and Day: These cannot be changed in bulk using the steps above. Any changes to the time or day of the week must be done individually for each event that requires updating.
