Reception: editing, deleting or cancelling an event

Quick answer

Go to Reception > Registers/Events, set the date range, find the event and select the Details tab. Edit the details and select Save, or scroll down and select Cancel Event or Delete. Parents and pupils are not told about edits automatically.

Reception: editing, deleting or cancelling an event

For staff who need to change an event or series of events after a Preference Container has been generated, for example the lead staff member or location.

Find the event

  1. Select Reception > Registers/Events.

  2. Set the date range for the event.

  3. Use the filters or search box to find the event or series. The drop-down lists filter by group, year/grade or organiser.

  4. Select the event from the list on the left of the screen.

  5. Select the Details tab on the right.

If the event is outside the date range you set, its group, year/grade or organiser will not appear in the drop-down lists.

Edit an event

  1. On the Details tab, change what you need: the event title, lead staff, location, or time and date. Then select the green Save button at the bottom.

  2. If the event is part of a series, a pop-up shows the details you changed. The Copy value box is ticked by default.

  3. Choose how to apply the change:

    • To change other events in the series too, tick the box next to each event and select the blue Apply changes button.
    • To change only this event, select the yellow Leave Other Events button.

Parents and pupils are not notified when you edit an event. Send a parent notice or pupil notice to tell them about the change.

Allow joining part way through a block booking

When an event's Event Type/Booking option is Block Bookings, no one can book once the first event has happened. This applies to parents, students and admin users. To allow later bookings, change the events to Block Booking Allow Joining Part Way Through.

You can do this from Reception > Registers/Events, but it is usually easier from within the container:

  1. In the container, select View Events/Bookings.

  2. Select one of the events.

  3. Select Details.

  4. Scroll down and tick Allow joining part way through series.

  5. Scroll down and select Save.

  6. In the pop-up, make sure Allow Joining Part Way Through is ticked. A warning triangle says Any changes to this option will always update all future events.

  7. Scroll down and select Apply Changes. The Leave Other Events button is not available for this change.

If the sign-up is still open, parents and students can now book these events. Admin users can book them even if the sign-up has closed.

Cancel an event

  1. On the event's Details tab, scroll to the bottom and select the red Cancel Event button.

  2. In the pop-up, you can:

    • change the Title of the cancellation notice
    • choose the Recipients: parents, pupils and staff
    • type an optional message
  3. Select the blue Confirm button.

The event is now marked as cancelled in the staff, pupil and parent diaries.

Delete an event

  1. On the event's Details tab, scroll down and select the red Delete button.

  2. In the pop-up:

    • For a one-off event, select the green Delete button.
    • For an event in a series, select the red Toggle button to select every event in the series. When the right events are selected, select the blue Delete Events button.
