Quick answer

If a group does not reach its minimum number of students after allocation, you can put it On Hold if you have no immediate plans to run it, or mark it Complete to generate all its future events anyway. You can take a group off hold later and run it.

Groups or activities with no or not enough requests: On Hold or Complete?

For staff deciding what to do with groups that did not get enough requests before generating events in a container.

After allocations, one or two groups occasionally do not reach the minimum number of students needed to run. You may still want to run the group and create all its weekly activities so students can join later. For example, the activity was added late to the sign-up, or parents missed it because it was not available to the correct year, grade or group.

Before you generate events in a container, you have two options.

Option Use it when What happens
On Hold You have no immediate plans to run the group or activity. Students allocated to this group have no activity that day unless you allocate them to another group manually.
Complete (marked manually) You want to create all future events for the group and run it with the students allocated. Events are generated for the group even if it has no students. It is then live and ready for join requests or manual additions.

Run a group you put on hold

If you put a group on hold and later decide to run it:

  1. Go to the container the group or activity is in.

  2. Select Remove from Hold.

  3. Make sure block dates are set at organisation level. See Creating Organisation Block Dates in SchoolsBuddy.

  4. Select Allocate, allocate the students you need for the group, then select Complete.

  5. Select Generate Events.

Once this is done, any students added to the group or activity are added automatically to the attendance register for all its future events.
