Offering different appointment types or lengths for one teacher

For staff setting up a PTC where one teacher sees different students for different lengths of time or subjects.

For example, J. Peakes teaches a Biology class and is also head of pastoral care (counsellor) for Year 4. They have 10 minute appointments for Biology and 15 minute appointments as a counsellor. These appointments must be scheduled separately and offered to different groups of students.

Set up separate appointments

  1. On the Teachers tab, create a separate teacher group for each appointment type, available to the relevant students (in the example, Biology class B6-09 and Year 4).

The page shows a warning that the teacher group is duplicated. This reminds you not to schedule this teacher's appointments at the same time.

  2. Give the appointments or teacher groups different titles, so parents whose children are eligible for both can tell them apart.

  3. Select Create Meetings and schedule one teacher group at a time, so you can set different appointment lengths and times. Make sure the schedules do not overlap, for example Biology meetings from 16:00 to 17:30 and Year 4 meetings from 17:30 to 19:00.

  4. Before you publish, check the schedules for each teacher group do not overlap. On the Publish Meetings screen you can also check how many appointments are available for each student group. Go back to Create Meetings to make any changes.
