Allowing parents to cancel (and refund) their own bookings 🎬

For admin staff deciding whether parents can cancel their own bookings and whether they get their money back automatically.

For each activity container in the Activities & Clubs module, you can choose:

  • whether parents can cancel their own bookings
  • whether cancelled bookings are refunded automatically
  • how close to the event start time parents can still cancel

Turn on booking cancellations

  1. In Activities & Clubs, select Edit on the right of the activity container.

  2. In the container settings, find the booking cancellation option just below the Description box.

  3. Tick Allow Booking Cancellations. Two more options appear.

  4. Set the cancellation window. This is how long before the event parents can no longer cancel. For example, enter 1 in the hour column to stop parents cancelling in the last hour. You can set up to 23 hours 55 minutes. Leave the default zero values to let parents cancel up to the last minute.

  5. Choose whether to tick Auto Adjust Payments. A note appears explaining that any payment made is transferred back as credit to the parent wallet.

  6. Select Save at the bottom of the container screen.

Auto Adjust Payments adjusts the whole fee. To refund only part of a fee, use manual adjustments instead. See Fee: Mass Adjustments / Mass Discounts and Refunds.

Add your refund policy to the container description or terms and conditions, so parents know whether they will be reimbursed if they cancel.
